Creating Contacts and Assigning Them to Lots in HomeBuilder

Welcome to the HomeBuilder series of common questions answered quickly. This video looks at the process of creating contacts for home buyers and assigning them to lots. This tutorial will guide you through importing contact information, linking customers to lots, and ensuring accurate tracking and management within the system.

Understanding the Relationship

In HomeBuilder, a contact is associated with a customer, and the customer is the entity to which you actually sell the home. The customer is then attached to the lot, forming a three-way link. This relationship is crucial for managing home buyer information and lot assignments efficiently.

Exporting Lot Purchases

To start, we use a template layout to export the lot purchases. Open the Excel sheet and review the defined lots and entered contacts. In this example, we will create links between customers and lots #48, 49, and 50, which were built in a previous demonstration.

Entering Contact Information

Enter the contact information for each lot. For lot #48, we will have two contacts; for lot #49, one contact; and for lot #50, two contacts. Provide the contact names and let the system determine the contact numbers. Optionally, you can add addresses and emails, but the primary focus is on the contact names.

Importing the Data

Save the Excel sheet and go back to the HomeBuilder menu. Under Reports, select “Import Lot Purchases” and browse to open the file. The system will read the Excel worksheet and create the contacts, customers, and link them to the lots.

Verifying the Creation

Check the lots to verify the creation of contacts and customers. For example, in lot #50, the system created a customer and linked two contacts. The system also creates a third contact to link the customer and other contacts, ensuring accurate tracking.

Making Corrections

If needed, you can manually update the contact information or reimport the data. For instance, correcting a spelling error in a contact name can be done directly in the system.
